Privacy policy

The short version. We collect what we need to produce your report and nothing else. Your card details go to Stripe and never reach us. We do not sell your data and we do not use it to train general-purpose AI models. Documents you upload name other people, and those people have rights here too — section 4. The result in your report is decided by a machine. You can always ask a person to review it, and they can change it.
1 · Who we are

Stripe handles payments and decides how it handles them. Stripe is responsible for that data, not us, and its own privacy policy governs it.
2 · What we collect
- When you buy: your email address, confirmation that payment succeeded, and the object details you give us.
- About your object: your photographs, and the record we build from the sources we query.
- Supporting documents, if you upload them: receipts, bills of sale, insurance schedules, prior appraisals, certificates and family papers. These are optional.
- Personal information about other people, inside those documents. Section 4.
- When you browse: standard server logs, and anonymous visit counts from Plausible Analytics. We set no cookies except the ones Stripe needs to take your payment securely. No advertising cookies, no advertising trackers, no profiling.
How we count visitors
We use Plausible Analytics to see how many people visit and which pages they read. Plausible sets no cookies, stores no personal information and does not store your IP address, and it processes everything inside the European Union. We cannot identify you from it and neither can anyone else. That is why this site has no cookie banner — there is nothing to consent to.
We also count one thing ourselves: how many times the front page of verify.veradis.ai is loaded. It is one number sent to our own server, with no cookie and nothing written into your browser. We cannot follow you down that path. Doing that would mean putting an identifier in your browser, and we have not.
If we ever add analytics that works differently — anything stored on your device, anything that follows you between pages or between visits — we will say so here and ask you first.
3 · Why we are allowed to hold it

You can object to anything we do on the basis of legitimate interests. Section 7 says how.
4 · People named in the documents you upload
You consent when you upload. The people named in your documents did not.
We keep the document as you sent it and index only what the object needs — names, dates, places and references to the object. We do not extract or index anyone's health, religion, ethnicity or political views, even where a service record or a certificate happens to disclose it. We do not publish anyone's identity alongside a verification record.
Anyone named in a document we hold has every right on this page. Write to hello@veradis.ai. We may need to check who you are first, and we will ask for the least we can — but we will not ask you to prove a relationship with whoever uploaded the document. If you object, we stop, unless we have a compelling reason not to, and we will tell you what it is.
We have weighed those interests and we will explain our reasoning to anyone who asks.
If a document is not yours to share, do not upload it.
5 · People, objects and links
A person is part of the record, not just a name in a file. One certificate can connect several objects across generations, and that is the point of the service — it is how an object's story is reconstructed. So we do match people across documents and, where the records support it, across accounts and institutions.
Your documents stay in your account. What contributes to the shared network is the object record and the links between objects — not your document and not you. Another user can see that two objects are linked. They cannot see your document and they cannot see you.
Children. If a document concerns a living person under 18, we keep it to your account and out of the shared record.
People who have died. Most heritage records concern them. Data protection law protects the living; we handle records of the dead to the same standard anyway.
6 · Automated decisions
The result in your report — the score, the confidence interval and the sources — is decided by automated analysis alone. No person at veradis sets it, and no person can change it on the way to you. A person does send the report to you; sending is all they do. Nobody at veradis examines the object itself.
So a decision about your object is made by automated means alone, and a right goes with that. If a result affects you — whether or not you bought it — you can ask a person to review it. Write to appeals@veradis.ai. A person with authority to change the outcome will look at it, hear what you want to say about it, and tell you the result and the reasons. There is no deadline and no charge.
That right is not a courtesy and we cannot take it away. In the EU, the UK and Switzerland it is yours under data protection law; in Quebec, under Law 25. Everyone else gets it on the same terms.
7 · Your rights
Wherever you live, you can ask to see what we hold about you, correct it, delete it, or stop us using it. Write to hello@veradis.ai. We answer within one month. If a request is complicated we may need longer, and we will tell you why inside that month. We do not charge.
In the EU, the UK and Switzerland you can also ask for a copy of what you gave us in a portable form, and you can complain to a supervisory authority — your national data protection authority, the Information Commissioner's Office, or the Federal Data Protection and Information Commissioner. In Canada, the Office of the Privacy Commissioner, and in Quebec, the Commission d'accès à l'information. You do not have to come to us first. We would rather you did, so we can fix it.
8 · How long we keep it
We keep your report and the record behind it for as long as your account is open, and for seven years after it closes, which is what tax and limitation law require. You can ask us to delete sooner.
What deletion does. Your documents, the fields we indexed from them, and your photographs are deleted, and your report is removed from your account. A link your evidence helped establish may remain in the network — where we cannot remove it, we keep it only in a form that identifies neither you nor anyone named in your documents.
9 · Where it is, and where it goes
We are a Canadian company, and Canada is recognised by the European Commission and by Switzerland as providing adequate protection for personal information. Some of our suppliers — including Stripe — process data outside Canada. Where they do, we rely on the European Commission's standard contractual clauses, the UK addendum and their Swiss equivalent.
10 · Keeping it safe
Access to documents is limited to what is needed to produce and support your report. Card details never touch our infrastructure. If a breach puts you at risk we will tell you and the relevant authority, inside the deadlines the law sets and without waiting to be asked.
11 · Changes
We will update this page as the service changes. The date at the top says when it last moved. If a change materially affects information you have already given us, we will tell you directly.
